As the issuer, you are able to bulk export your pdf certificates, for example as an off-platform record. These are prepared in a zip file.
This facility is currently only available to the admin/owner of the organisation that issues certificates. It also only applies to one certification scheme at a time and is limited to 500 files.
On the 'Issued Certificates' page, if you are the admin/owner of your organisation, when you select one certification scheme from the filters, the button 'Export PDFs' becomes available.
You can filter the results further using other filters (such as a date range, a status, etc) to narrow down the certificates you wish to export. This will be necessary if you plan to export more than 500 pdfs (e.g. filter by years to reduce the batch size).
When you confirm the export, you will see a message "Your export is being prepared." This process occurs in the background and the time taken will depend on the number of certificates requested.
You will be directed to the 'Downloads' section in your organisation where the zip file will be displayed and can be downloaded to your desktop once ready. If you decide to return to this later, it can be reached via Organisation Settings and appears in the side menu under 'Services'.
The table indicates how long the download files will remain available, after which we automatically delete them as part of our routine housekeeping.
For convenience, the file names are the certification scheme selected and any date range that has been applied.
Note that the pdfs that are prepared for download are the up-to-date original versions (not inspection copies) with status overlays (such as 'expired' or 'suspended') where applicable at the time of the request. They are, therefore, the pdfs that are 'in-circulation' and available to the recipient.
